Location: Head Office in Embu

Overall Purpose of the Job: 

Assist in Processing and handling documents, retrieval, archiving and record management systems

Key Responsibilities

  1. Classify and label documents and file  accordingly
  2. Ensure the document management system is up-to-date
  3. Respond to record requests by retrieving requested files
  4. Maintain accurate records of document orders and movements
  5. Remove or archive repeated documents or irrelevant/out-dated information
  6. Timely response to queries in person, by e-mail, by post, or by phone
  7. Maintain a high level of confidentiality and Integrity
  8. Ensure that the record on-site and off-site storage areas are well organised.
  9. Able to work as part of a team
  10. Be involved the disposal of documents as per the disposal policy

Key Performance Indicators

  1. Ensure an up to date file tracker showing files retrieved and returned
  2. Ensure an up to date dispatch book for all outgoing correspondence
  3. Ensure correct filing of records
  4. Ensure an up to date list of files created, archived and closed
  5. Accurate inventory of file records
  6. Timely execution of duties assigned

Qualifications and experience

  1. Minimum 1 year experience in a busy registry environment
  2. Diploma in Registry management, record management, library and information    science, archive management or its equivalent.
  3. KCSE have attained a minimum of C plain
  4. Be at least 25 years of age
  5. Experience in a financial institution will be an added advantage
  6. Hold a valid certificate of good conduct
